FAQs

Booking & Payments


How do I reserve my date?

A signed rental agreement, a non-refundable retainer equal to 25% of the total contract amount, and the Facility Protection Fee are required to secure your event date.


Is my retainer refundable?

No. All retainers and payments made toward an event are non-refundable.


Do you offer payment plans?

Yes. Wedding packages are automatically placed on a monthly payment plan. Other events may also utilize payment plans upon request.


When is my final payment due?

All balances must be paid in full no later than thirty (30) business days before the event date.


What happens if my payment is late?

Late payments are subject to a $25 per day late fee.


Do you offer discounts?

Yes. We offer discounts for military personnel, first responders, healthcare workers, educators, Friends of the Chadwick Foundation members, and cash/check payments. Discounts cannot be combined.


Venue Capacity & Accessibility


How many guests can The Chadwick Center accommodate?

The Chadwick Center, LLC can accommodate up to 125 guests indoors and approximately 200 guests outdoors.


Is the venue handicap accessible?

Yes. The Chadwick Center is handicap accessible.


How many restrooms are available?

We have two gender-neutral restrooms. One restroom includes a baby changing station.


Is parking available?

Yes. Complimentary self-parking is included with your rental. Additional parking attendants may be available for an additional fee.


Rental Times & Access


How long do we have access to the venue?

Rental times vary by package and are outlined in your rental agreement.


Can we arrive early to decorate?

Only if early access has been approved in writing and added to your contract. Unauthorized early entry may result in additional fees.


Can vendors drop off items before the event?

No. Vendor deliveries and setup must occur during your contracted rental period unless prior written approval has been granted.


Can we leave decorations or personal items overnight?

Only with prior written approval. Items left behind must generally be removed within 72 hours or may be disposed of.


What time must events end?

All events must conclude by 11:00 PM.


What happens if my event runs late?

Additional charges may apply for events extending beyond the contracted rental period or curfew.


Weddings


Can I bring my own officiant?

Yes. You may use your own officiant or choose officiant services offered through The Chadwick Center, LLC.


Do wedding packages include staff?

Most wedding packages include one on-site staff member. Additional staff may be hired for an additional fee.


Do wedding packages include linens?

Most wedding packages include black linens. White linens are available for an additional fee.


Can we have our ceremony and reception on-site?

Yes. Our venue is designed to accommodate both ceremonies and receptions.


Tables, Chairs & Setup


Do tables and chairs come with the rental?

Yes. Tables and chairs for up to 135 guests are included.


Can I arrange the tables however I want?

Yes. You may customize your floor plan and seating arrangement to fit your event.


Can I rent additional tables and chairs?

Yes. Additional tables, cocktail tables, chairs, and linens may be added to your package.


Are linens included?

Black linens are included with most rental packages. White linens are available for an additional fee.


Catering & Food Service


Do I have to use a preferred caterer?

No. You may choose your own licensed caterer.


Do you charge vendor fees?

No. We do not charge vendor fees.


What kitchen facilities are available?

The venue includes a kitchenette with:
• Residential refrigerator
• Sink
• Counter space


Does my caterer need insurance?

Yes. Caterers must be licensed and insured and provide documentation at least 60 days before the event.


Alcohol Service


Can alcohol be served?

Yes, with approval.


Do I need a bartender?

Yes. Alcohol may only be served by a licensed and insured bartender approved by The Chadwick Center, LLC.


Can I provide my own bartender?

Yes, provided they are licensed, insured, and approved by the venue.


What happens if alcohol is served without approval?

Unauthorized alcohol service may result in immediate forfeiture of the Facility Protection Fee.


Vendors


Can I use my own vendors?

Yes, but all vendors must be approved by The Chadwick Center prior to the event.


Which vendors require approval?

Approval is required for vendors including:
• Caterers
• Bartenders
• DJs
• Bands
• Photographers
• Videographers
• Florists
• Decorators
• Rental companies
• Event planners
• Transportation providers
• Security services
• Specialty attractions


Do vendors need insurance?

Some vendors may be required to provide proof of insurance.


Decorations


What decorations are prohibited?

The following items are not permitted:
• Glitter
• Rice
• Birdseed
• Confetti
• Silly string
• Gel-like substances
• Smoke-producing devices
• Chinese lanterns


Are candles allowed?

Open flames are prohibited, including:
• Candles
• Sparklers
• Torches
• Fire pits

Unless specifically approved in writing by The Chadwick Center, LLC. 


Can we use nails, tape, or staples?

No. Nails, screws, staples, duct tape, adhesives that may damage surfaces, and permanent marking tools are prohibited.


Can we use sand ceremonies?

Yes. Sand is permitted only when contained within enclosed containers.


Music & Entertainment


Do you provide a sound system?

Yes. Bluetooth speaker access and PA systems are available.


Do I need my own outdoor sound equipment?

Yes. Outdoor ceremonies generally require a DJ or rented sound equipment for officiants and music.


Is Wi-Fi available?

Yes. Complimentary guest Wi-Fi is included.


Insurance & Liability


Is event insurance required?

Yes. Event insurance is required for all rentals.


When is proof of insurance due?

Proof of insurance must be submitted at least 30 days before the event.


What happens if I fail to provide insurance?

Failure to provide proof of insurance may result in cancellation without refund.


Am I responsible for damages?

Yes. Clients are responsible for damages beyond normal wear and tear.


Facility Protection Fee


What is the Facility Protection Fee?

The Facility Protection Fee is a security deposit collected at booking to protect the venue against damages, policy violations, excessive cleaning, or other contract violations.


How much is the Facility Protection Fee?

Block Rentals: $250
Full-Day Rentals: $350


Is the Facility Protection Fee refundable?

Yes. It may be refunded in full, partially refunded, or retained depending on the condition of the venue and compliance with the rental agreement.


Cancellations & Rescheduling


What happens if I need to cancel?

All payments are non-refundable.


Can I reschedule my event?

Yes. Subject to venue availability and updated pricing.


What is a Release of Date Form?

This form formally releases your original event date and is required when canceling or rescheduling an event.


Photography & Privacy


May The Chadwick Center, LLC use photos from my event?

Unless otherwise requested in writing at the time of booking, photos and videos taken at events may be used for marketing and promotional purposes.


Are children's photos used?

No. Photos of children are never used without written parental consent.


Can I opt out?

Yes. Written notice must be provided at the time of contract signing.
